Jocil enhances efficiency and achieves greater control over strategic operations

The Customer:
Jocil Limited is a leading chemical manufacturer with diversified interests in stearic acids, soaps, soap noodles, distilled fatty acids, industrial oxygen, refined glycerine and fractionated fatty acids. The company is a subsidiary of Andhra Sugars Ltd. Jocil is listed on the National Stock Exchange (NSE) Madras and Hyderabad Stock Exchange
and is ISO 9001:2008 certified.

Business Scenario:
Jocil Limited wanted to identify areas of business process improvement across the organization through process optimization and standardization. However, the company had limited visibility into its core business activities. In the absence of automated systems to track the receipt of raw materials and the dispatch of finished goods, core business functions such as production, procurement and finance and accounting were severely impacted. This made it difficult for the customer to identify non value-added activities across manufacturing, finance, HR, sales and distribution, maintenance and logistics departments.

The company was looking for an unbiased advisory partner for ERP product evaluation that matched its industry position, culture and budget. Having experienced TCS’ service quality and commitment in an engagement with a group company, Jocil chose TCS to evaluate the current application landscape and develop an FRS document for a future-proof integrated ERP system.

TCS’ Solution:
TCS performed a detailed business process analysis and system study of Jocil's current business processes, using a three-pronged consulting methodology:

  • Determine: TCS conducted business process discovery meetings with more than 80 key business stakeholders of Jocil. The TCS team also visited the chemicals, soap and soap noodles manufacturing plants to understand the current business state.
  • Design: In the design phase, TCS created seven Standard Operating Procedures (SOP) documents that covered the overview of the business, the current organizational structure of the department or business functional area, and the business value chains.
  • Develop: In this phase, SOPs were finalized and a detailed FRS document was created to help Jocil qualify the ERP product fit from the functionality perspective. The FRS document, which contains a list of over 450 business functional requirements, complements the standard features available as part of any specific ERP product chosen. It also provides guidelines for expectations from an integrated system solution.

The TCS team also collaborated with the top management of Jocil, including the Managing Director and the President and Secretary to understand the company’s strategic vision, key challenges and current business situation. We concluded the engagement with detailed presentations on business processes, OFIs and prioritized solution recommendations to each business department and an executive summary containing critical insights.

TCS provided holistic recommendations that helped Jocil Limited achieve greater control over strategic operations. TCS leveraged its Business Process Discovery & Design (BPD&D ) methodology to create the SOPs and helped the customer enhance its business process visibility across the entire value chain, in terms of interoperability and interdependency across different departments as well as for IT enablement. These are also being used for ISO audits and for conducting training for new employees. The KPIs act as baseline measures, establishing a process for reviewing continuous improvements, with many management information system (MIS) reports and executive information system (EIS) reports based on them.
